Checks and Validation in Factview

To ensure that both the report structure and the financial administration are configured correctly, Factview provides several validation tools.

These checks help verify that:

  • All General Ledger Accounts have been mapped correctly.

  • The Balance Sheet and Profit and Loss Statement are accurate.

  • The administration totals match the report structure.

Factview includes two validation components:

  • Mapping Check

  • Checklist

Mapping Check

The Mapping Check provides an overview of all General Ledger Accounts within the administration and verifies whether they have been correctly included in the report structure.

Navigate to:

Data → Validate → Mapping Check

The Mapping Check overview will then be displayed.

Structure of the Mapping Check

The Mapping Check overview consists of three sections.

1. Description

This column lists the different validation items included in the check.

It displays information such as:

Total Balance of All Accounts in the Administration

The combined balance of all General Ledger Accounts in the administration.

Balance of Mapped Accounts in the Standard Structure

The balance of all accounts that have been linked to the report structure.

Calculated Import Set Difference

The difference between the total administration balance and the balance of the mapped accounts.

Difference Caused by Unmapped or Incorrectly Mapped Accounts

Indicates whether any accounts are missing from the report structure or have been mapped incorrectly.

2. Monthly Actuals

These columns display the monthly figures for the selected fiscal year.

This allows you to verify that:

  • The Profit and Loss Statement accounts have been included correctly.

  • The Balance Sheet accounts have been processed correctly.

  • The totals match the financial administration.

Reviewing the figures by month makes it easier to identify discrepancies.

3. Total

The Total column displays the combined amount for the entire fiscal year.

This provides a quick way to verify whether the annual totals of the administration match those of the report structure.

If differences are shown, this usually indicates that:

  • Some accounts have not yet been mapped.

  • Some accounts have been mapped incorrectly.

  • The imported data is incomplete.

Checklist

In addition to the Mapping Check, Factview also includes an automated Checklist.

Navigate to:

Data → Validate → Checklist

The Checklist automatically performs a series of validations on the financial administration and report structure, allowing you to quickly verify that everything is configured correctly before generating reports.

Check Status

Each check displays one of the following statuses:

Green check mark

The check has passed successfully.

Red cross

An issue has been detected and should be reviewed.

What Does the Checklist Check?

The checklist verifies, among other things, whether:

  • Import Sets are balanced.

  • All General Ledger Accounts have been mapped in the standard structure.

  • Balance Sheet accounts have not been mapped to the Profit and Loss Statement structure.

  • Profit and Loss Statement accounts have not been mapped to the Balance Sheet structure.

  • Accounts have been mapped at the lowest level of the structure.

Click Run All Checks to perform all checks again and update the checklist.

By regularly using the Mapping Check and the Checklist, you can quickly verify that your financial administration is configured correctly.

This helps prevent reporting errors and ensures that your financial data remains reliable for analysis and reporting.
